Click on Admin -> Teams to see a list of teams.
Click on the team name for which you want to add an Event to it’s schedule.
Click on the green + New Event button.
Click on Practice if you are adding Weekly Classes for the team. Click on Game/Scrimmage if you are adding a practice match or tournament for the team.
In Event Title: If it is Weekly Classes then enter “Weekly Classes Tue” if you are entering the weekly classes for Tuesday.
In When click on the Calendar icon and select the first day of the Weekly Classes you are scheduling. For example, if you are scheduling “Weekly Classes every Tuesday from 5PM from Aug 2, 2022 for 60 minutes for the whole coming year”, select Aug 2, 2022 in the Calendar.
Enter the start time of the Weekly Class as 5PM as follows:
If the class time is different than 60 minutes, change the value to the correct class time. Ignore the Arrive ___ mins early field.
Click on Repeat Weekly and enter 52 weeks. This will schedule this class for the next 52 weeks i.e for the whole year.
We can remove any Holiday classes by going to the Event in the calendar and deleting it. We will cover this later in this lesson.
Select the Location of the weekly classes in the Where field from the drop down menu as follows:
After you select the location, it will show the location name, Address and a link to the Google Map for the location.
Enter a Note that may apply to all the classes for this day for the rest of the year or how many ever days you are scheduling here.
Check “Track player availability” if you want the parents to have the option to mark if a player is NOT attending a class. This will help the Coach and Manager see in advance who is not coming to a class and prepare accordingly.
Check “Notify team” so that an email, about this event schedule, is sent to all the team members, including Parents, Coaches and Managers.
Click on Create to schedule the event.
Once you click on Create the event will appear in your schedule as follows:
Clicking on the event shows you the following screen:
If you are a Byga Admin, or a Coach or Manager for a team, when you click on the scheduled Event in your calendar you will see the above detail for the Event. Here you can see which student is NOT COMING to a class. When a parent marks a student as NOT AVAILABLE for a class in their Byga App, that student name appears in the “Red x” row.
The Green Check Mark row shows all the students who are marked as AVAILABLE by a Parent and the “? Row” shows all the students whose status has not been updated by the parents.
A Coach / Manager or Admin for a team can see all the schedules together for all their teams.
You can see this schedule as a List by clicking on “list” at the top right of the schedule screen:
A Parent will only see the schedules for their children’s teams.
If you checked “Notify team” when creating the Event, an email like this will be sent to all the parents, coaches and managers for the team:
